Crewscape Inc. (“Crewscape,” “we,” “us,” or “our”) respects your privacy and is committed to protecting the personal information entrusted to us.
This Privacy Policy explains how Crewscape collects, uses, stores, discloses, and protects information when you visit our website, create or use a Crewscape account, use our software and mobile applications, communicate with us, or connect Crewscape with third-party services such as QuickBooks Online.
By using Crewscape, you acknowledge the practices described in this Privacy Policy.
1. Information We Collect
We may collect information that you provide directly to us, information generated through your use of Crewscape, and information received from services you choose to connect to Crewscape.
Account Information
When an account is created, we may collect information such as:
- Name
- Business or company name
- Email address
- Telephone number
- Login and account information
- User role and permissions
- Billing and subscription information
Payment card information may be processed by our third-party payment processor. Crewscape may receive transaction information, payment status, and limited payment details but does not necessarily store complete payment card information.
Business and Operational Data
Customers may enter, upload, generate, or otherwise process information through Crewscape in connection with their business operations.
Depending on the Crewscape features being used, this information may include customer information, employee or crew information, job and property information, schedules, service records, time records, expenses, equipment information, photographs, notes, invoices, estimates, and other business records.
Customers are responsible for ensuring that they have the appropriate authority and consent to provide personal information relating to their employees, customers, contractors, and other individuals to Crewscape.
Automatically Collected Information
When you use our website or software, we may automatically collect certain technical information, including:
- IP address
- Browser and device information
- Operating system
- Login activity
- Pages and features accessed
- Application usage information
- Error and diagnostic information
- Security and audit logs
We use this information to operate, secure, maintain, troubleshoot, and improve Crewscape.
2. QuickBooks Online Integration
Crewscape may allow customers to connect their Crewscape account with QuickBooks Online.
When you authorize this connection, Crewscape may access, receive, process, and transmit information between Crewscape and your QuickBooks account as necessary to provide the integration.
Depending on the features you choose to use, this may include information relating to:
- Customers
- Invoices
- Estimates
- Payments
- Products and services
- Taxes
- Accounting records
- Other information required to provide the requested QuickBooks functionality
Crewscape will only access QuickBooks information after an authorized user connects their account and grants the required permissions.
We use information obtained through the QuickBooks integration to provide functionality requested by the customer, such as synchronizing applicable customer, invoicing, payment, and accounting information.
Crewscape does not sell information obtained through your QuickBooks account.
You may disconnect your QuickBooks integration through Crewscape or through your applicable QuickBooks/Intuit account settings. Disconnecting the integration prevents future access through that authorization but may not automatically delete information previously synchronized with Crewscape where that information must be retained to provide the service, maintain business records, comply with legal requirements, or otherwise as described in this Privacy Policy.
QuickBooks and Intuit are third-party services operated independently from Crewscape. Your use of those services is also subject to the applicable Intuit terms and privacy policies.
3. How We Use Information
We may use information collected through Crewscape to:
- Create and administer user accounts
- Provide the Crewscape platform and its features
- Process subscriptions and payments
- Authenticate users and manage permissions
- Provide integrations requested by customers
- Synchronize information with QuickBooks and other authorized services
- Provide customer support
- Communicate about accounts, subscriptions, security, and service updates
- Diagnose technical problems
- Maintain and improve the reliability and performance of Crewscape
- Develop and improve our products and services
- Prevent fraud, abuse, and unauthorized access
- Protect the security of Crewscape and our customers

Where required by law, we will obtain appropriate consent before using personal information for a new purpose.
4. How We Share Information
Crewscape does not sell or rent personal information.

5. Customer Data
Customers retain their rights to the business data they submit to Crewscape, subject to the terms governing their use of the service.
Crewscape processes customer data to provide, maintain, secure, support, and improve the services provided to the customer and for other purposes permitted by our agreements and applicable law.
Crewscape customers determine what information they and their authorized users enter into the platform.
Where Crewscape processes personal information on behalf of a business customer, that customer may be responsible for responding to privacy requests from individuals whose information has been entered into Crewscape.
6. Data Retention
We retain personal information for only as long as reasonably necessary for the purposes for which it was collected, including providing Crewscape, maintaining legitimate business and financial records, resolving disputes, enforcing agreements, and complying with legal requirements.
When information is no longer reasonably required, we may delete, anonymize, or securely dispose of it in accordance with our data-retention practices and applicable law.
Certain information may remain in backups for a limited period before being overwritten or deleted through our normal backup processes.
7. Data Security
Crewscape uses reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure.
These safeguards may include access controls, authentication measures, encryption where appropriate, monitoring, logging, and restrictions on access to customer information.
However, no internet-based service or method of electronic storage can guarantee absolute security. Users are responsible for protecting their account credentials and should notify Crewscape promptly if they believe their account has been compromised.
8. Access by Crewscape Personnel
Authorized Crewscape personnel may access customer accounts or customer information when reasonably necessary to:
- Provide requested customer support
- Troubleshoot technical issues
- Investigate security incidents
- Maintain or improve the service
- Comply with legal obligations
Access is intended to be limited to personnel who require it for legitimate business purposes and subject to appropriate security controls.
9. International Data Processing
Crewscape is operated by Crewscape Inc., a Canadian company.
Some of our service providers may process or store information outside Canada, including in the United States or other jurisdictions.
As a result, personal information may be subject to the laws of the jurisdiction in which it is processed and may be accessible to courts, law enforcement, or governmental authorities in accordance with applicable law.
10. Your Privacy Rights
Depending on where you live and applicable law, you may have rights relating to your personal information, including the ability to request access to or correction of certain personal information held by Crewscape.
You may also withdraw consent to certain processing where processing is based on consent, subject to legal or contractual restrictions and reasonable notice.
Some information cannot be deleted immediately where Crewscape is required to retain it for legal, financial, security, fraud-prevention, or other legitimate purposes.

We may also send promotional or marketing communications where permitted by law. You may unsubscribe from marketing communications using the unsubscribe mechanism provided in those communications.
Unsubscribing from marketing messages does not prevent us from sending necessary transactional or service-related communications.

Crewscape is a business software platform and is not intended for children.
We do not knowingly collect personal information directly from children through consumer accounts. If we become aware that personal information has been collected from a child contrary to applicable law, we will take appropriate steps to address it.
14. Third-Party Services
Crewscape may contain integrations with or links to third-party websites, applications, and services.
Crewscape Inc. does not control the privacy practices of independent third parties. We encourage users to review the privacy policies and terms of any third-party services they choose to use.
